🚀 First-time setup (5 minutes)

  1. 1  Ask your admin for a login, or request one yourself from the account picker screen ("New here? Create an account") — an admin approves it before you can sign in.
  2. 2  Sign in with your username and password.
  3. 3  Once in, go to Quotes DB → 🔢 Set Quick PIN and pick a 4–8 digit PIN. Next time, you can tap your name and enter just the PIN instead of typing your password.

💾 Saving & finding your work

Every quote, invoice, PO, and price list can be saved to a shared database with one tap — no login needed just to save. Saving gives it a permanent reference number like PF/150726/00001.

To find something later: go to the Quotes DB tab, filter by date or reference number, and open it directly back into the right tool — it reopens in the same window, fully editable.

Exporting a PDF always saves it too — so every PDF anyone downloads has a matching database record, automatically, as a record of what was sent out.

🔒 Sharing & privacy

By default, anything saved is visible to every signed-in teammate. If something needs to stay private (or shared with just a few people), open it from the Quotes DB and use Edit → Sharing to choose:

I forgot my password — what do I do?

On the sign-in page, tap "Forgot your password?" and enter your username. This sends a request to your admin, who will set a new password for you directly (passwords are encrypted, so nobody — including admins — can look up your old one).

What's the difference between a Quick PIN and my password?

Your password is your main login. A Quick PIN is an optional shortcut — a short number you can set once you're logged in, so next time you can just tap your name and type the PIN instead of your full password. Your password still works everywhere, always.

Why is my saved quote showing blank prices when I open it as an Invoice?

This was a bug in an earlier version that's now fixed. If you still see it, make sure you're on the latest version of the suite, and try re-saving the quote from the Cost Engine or Bag Calculator first.

Can I edit something after I've saved it?

Yes — open it from the Quotes DB tab and tap Edit. Any signed-in user can update the client name, amount, and status. Only the record's owner or an admin can change who it's shared with. Only admins can permanently delete a record.

What reference number format does the suite use?

PF/DDMMYY/00001PF is the constant company code, DDMMYY is the save date, and the 5-digit number always increases so it's unique even across different days. A /C at the end means a client name was attached to it.

Can I bulk-import prices instead of typing them one by one?

Yes — go to the DB Loader tab. Download a blank Excel template, fill it in (or fill in the same columns in your own sheet), and upload it back. You can also try importing from a photo of a printed price list, though text recognition on photos is best-effort and should always be reviewed before importing.

How long until I get logged out automatically?

After 30 minutes of no activity, you'll be signed out automatically for security and sent back to the sign-in screen. Just sign back in (or use your Quick PIN) to continue.

I signed up but can't log in yet — why?

New accounts need an admin to approve them first. This usually only takes a short while — check with your admin if it's been a long time.

Still stuck on something? Ask whoever manages the suite for your team (your admin) — they can also reset passwords and approve new accounts.
